General Use

  • Is Fact certified software?

    Yes. Fact is software certified by the Tax Authority with number 2138/AT.

  • How much will this software cost me?

    You can start issuing invoices at no cost.
    You can create a company, add customers and products, and issue sales documents and receipts.
    Additional services subject to costs are available within the software, aimed at a better experience in the relationship with your customers. They normally follow a basic principle: they incur costs when they generate an advantage in their use, whether administrative, commercial, informational, or of direct business acquisition.
    If your tax framework determines that you are obliged to communicate your invoices electronically or by SAF-T File Export, you must subscribe to the feature within the application. Consult our pricing for more information.

  • Can I install Fact on my computer?

    No. Fact is a Web-based application. To access Fact, you simply need an internet connection and access the portal through your browser. You can access it from any device (PC, laptop, smartphone) and anywhere in the world as long as you have internet access.
    In addition, you have the guarantee that you are using the latest version of the application, and that all information remains synchronised in real time.

  • What if I lose internet access during use? Do I lose data?

    No problem. All data is saved on our servers. Furthermore, during the composition of documents, your data is being permanently saved as soon as you finish editing any data field, so that you don't lose anything, even if you momentarily lose internet access, power, or your device fails.

  • Can I access Fact through my smartphone or tablet?

    Fact is prepared to facilitate the user experience on mobile platforms. For this it uses Responsive Templates technology. Simply use the browser of your device to access the portal www.fact.pt, and the entire interface will be adjusted for better use.

  • Can I have more than one company?

    Yes. Fact is optimised for multi-company use in your user account.

  • Can I have more than one user?

    Yes. Fact is optimised for multi-user use, with well-defined privilege control. You can delegate read access to your accountant, for example.

Invoicing

  • Is it possible to generate the SAF-T file?

    Yes. Fact is a programme certified by the Tax Authority, and exports the SAF-T file.

  • Can I preview a document before finalising it?

    Yes. A preview of the document is shown, without an assigned number, before its finalisation. By legal requirement, a watermark indicating "IN PREPARATION" is displayed, which is removed once you finalise the document.

  • Is it possible to issue partial receipts?

    Yes. Fact is optimised for issuing partial receipts and multiple invoices simultaneously, per payment method. Please note that it is not possible to issue documents related to invoices that are already fully settled by receipt.

  • Can I import data from other invoicing programmes?

    Not yet. However, we are working to make this feature available.

  • Does the application use electronic invoicing?

    Yes. Activating the "Electronic invoicing" configuration enables the generation of invoices in PDF with digital signature. The feature to send invoices to your customers by email is also activated.

  • I issued an invoice, and then a credit note of equal value. Both documents appear as unregularised. What should I do?

    You must issue a single receipt that covers all the open documents that are related to each other. If you made a credit note of the same value as the invoice, the receipt will have a value of zero euros. If the credit note is of a lower value than the invoice, and the difference has been received, the receipt will be for the value of the difference.

  • I am exempt from VAT payment. How do I apply this exemption to invoices?

    First you should access Settings > Company > Taxes, and add the desired Exemption. After its activation, it will be available for selection in the invoice composition form.

  • How to communicate the absence of monthly invoicing to the Tax Authority?

    Any entity that does not issue invoices during a given month is obliged to communicate this fact to the Tax Authority, even if they have automatic communication via webservice active. To communicate the absence of invoicing, you should access the e-fatura portal, and in the ISSUER section, carry out the communication in the option "Monthly communication due to absence of invoicing".

Security

  • Is my data secure?

    We use the best solutions for the integrity, conservation and security of your data. Fact is based on a triple redundancy system of synchronous replication, which makes data loss virtually impossible. We also use the best security and encryption solutions for data communications between our services and the user, comparable to the solutions used by banking systems in Portugal.
    In the end, the security of your data is only conditioned by the responsible use by the user of their access terminal and authentication data.

  • I lost my access data and cannot recover it. What should I do?

    You should contact us through the customer support service.

  • My access data is compromised. What should I do?

    You should contact us as soon as possible through the customer support service.

  • Can I delete my personal account data? And my company?

    Yes. In the Settings section you will find the automatic tools for account cancellation and permanent removal of your personal data and your Company's data.

Additional Services

  • What are Additional Services?

    These are improvements to the application, normally subject to a one-off or periodic cost, aimed at improving your experience of using the application, as well as a better administrative relationship with your clients. They normally follow a basic principle: they incur costs when they generate an advantage in their use.

  • Can any person or company subscribe to these Additional Services?

    Yes, as long as they meet the requirements set out in the TCS and carry out the Fact Certification, in the Settings section, as a User and as a Company.

  • What is Fact Certification?

    It is an identity recognition process that aims to enable Users to, in their personal name or through their represented Companies, contract Additional Services, which may or may not be concluded with partner entities.

  • What are the costs of Fact Certification?

    Fact Certification is free for registered Users with Companies with a Fact Account balance equal to or greater than €30 (of the company subject to Certification).

  • What are the costs of technical support?

    Email or support ticket support is free. Telephone technical support on your initiative involves subscribing to the Additional Service - Direct Support, subject to a cost according to the current pricing. In requests for email or support ticket support, we may eventually contact you, at no additional cost, when justified.
